This Privacy Policy applies to information collected through westcountyrefrigeration.com and related communications initiated through the website. “West County Refrigeration,” “we,” “us” and “our” refer to the Sonoma County commercial refrigeration business operating this website.

The service-request form may collect your name, business name, telephone number, email address, selected service, equipment or system information, service location, current temperature, symptoms, timing, operating impact and any other details you include. We may also retain information you provide by telephone, email or during follow-up about an inquiry.
Information collected automatically
When you visit the site, hosting and network providers may process technical information needed to deliver and protect it, such as Internet Protocol address, browser and device type, operating system, referring page, pages requested, timestamps, approximate region derived from an IP address and security or diagnostic events.
Information related to customers and vendors
If an inquiry becomes a business relationship, we may maintain contact details, site and equipment information, estimates, work orders, scheduling notes, communications, invoices, payment status and service history. Payment-card or bank information, if ever used for payment, should be handled through the applicable payment provider or financial institution rather than the public service-request form.
Information you should not submit
Do not place Social Security numbers, driver’s-license numbers, account passwords, full payment-card details, medical information or other highly sensitive information in the service-request form.

- communicate about estimates, scheduling, work orders, maintenance and completed work;

- improve website content and the service-request process using aggregated or non-identifying observations;
- establish, exercise or defend legal claims and enforce agreements; and
- comply with applicable law, lawful process and safety obligations.
We do not use form submissions to make automated decisions that produce legal or similarly significant effects.

When Information May Be Disclosed
We may disclose information only as reasonably necessary to the following categories of recipients:
- Hosting and form providers. The site is hosted through Netlify, and Netlify Forms processes and stores service-request submissions on our behalf.
- Operational service providers. Providers supporting website maintenance, email, communications, accounting, records, security or other business operations may process information subject to their services and applicable agreements.
- Technicians, subcontractors and business partners. Information may be provided when reasonably necessary to evaluate, schedule or perform requested work. A separate agreement may govern their role.
- Professional advisers. Accountants, insurers, attorneys and similar advisers may receive information when necessary for professional services.
- Authorities and protected parties. Information may be disclosed to comply with law or lawful process, protect rights, safety or property, investigate fraud or respond to an emergency.
- Business transactions. Information may transfer as part of a merger, sale, financing, reorganization or transfer of all or part of the business, subject to applicable law.
We do not currently sell personal information or share personal information for cross-context behavioral advertising. If that practice changes, this policy and any legally required choice mechanism will be updated before the new practice begins.

Cookies, Fonts and Tracking Signals
The current site does not intentionally deploy advertising pixels, behavioral advertising tools or a general analytics platform. Essential hosting, security or form systems may use technical storage or network identifiers necessary to operate their services.
The site loads typefaces through the Google Fonts Web API. A browser must request those font resources from Google’s font domains; Google states that the Fonts API does not set or log cookies through those requests. Google and the site’s infrastructure providers maintain their own privacy practices.
Do Not Track and Global Privacy Control
Some browsers send “Do Not Track” signals. There is no universally accepted technical standard for responding to every such signal. Because the current site does not sell or share personal information for behavioral advertising, it does not presently offer a separate sale/share opt-out. We will recognize legally required browser-based preference signals, including Global Privacy Control, if and when they apply to a covered practice.

Retention
We retain information only for as long as reasonably necessary for the purpose collected. The period depends on whether an inquiry is active, whether services were requested or performed, whether the information is part of accounting, warranty, safety, insurance or legal records, and whether a longer period is required or permitted by law. Unneeded form submissions should be periodically deleted from the form platform. Aggregated or de-identified information may be retained when it no longer identifies an individual.
Security
We use reasonable administrative, technical and physical safeguards appropriate to the nature of the information. However, no website, email, network transmission or storage system is guaranteed to be completely secure. Do not submit highly sensitive information through the public form. If you believe information has been compromised, contact us promptly.

You may ask to review, correct or delete information you submitted through the website, or ask a question about how it was handled. We may need to verify your identity and relationship to the information before completing a request. Certain records may be retained when permitted or required for contracts, accounting, safety, security, legal claims or compliance.

California law may provide rights to know, access, correct or delete personal information; opt out of sale or sharing; limit certain uses of sensitive personal information; and receive equal service when exercising privacy rights. Whether particular provisions apply depends on the business and processing activity. West County Refrigeration does not currently sell personal information or share it for cross-context behavioral advertising.
An authorized agent may submit a request when permitted by law. We may request proof of authorization and verify the consumer directly. We will not discriminate against a person for making a good-faith privacy request.

Children
This is a commercial-services website intended for business operators and adults. It is not directed to children under 13, and we do not knowingly collect personal information from children through the service form. If you believe a child submitted information, contact us so it can be reviewed and deleted as appropriate.
External links and providers
The website may link to external websites or rely on third-party infrastructure. Their privacy practices are governed by their own notices and are not controlled by this policy. Review those notices before providing information directly to another provider.
